COVID-19


This COVID-19 policy document has been produced for the protection and safety of staff and guests whilst staying at Churston Way Lodge Guest House. The procedures and information within this document have been produced in line with current UK Government guidelines for COVID-19. More information on COVID-19 can be found on the official government website www.gov.uk/coronavirus

All procedures and information detailed within this policy and risk assessment have been implemented with immediate effect as of 1st July 2020. The procedures and content of this policy may change in future alongside any future UK Government guideline amendments or updates.

Revision Note: This policy first published on 1st July 2020 and was revised on 7th August 2020 to reflect changes to the use of face masks in public areas of holiday accommodation announced by the government on 31st July 2020.

Guests are also advised to read our Terms and Conditions, which includes a section relating to COVID-19.


Social Distancing and Face Masks

The social distancing measures set out below must be practiced at all times. The below measures are in place for the safety, protection and welfare of all guests and staff.

1. Reception Area / Stairs & Hallways

  1. Only one guest permitted in the reception area at one time.
  2. Guests are advised and requested to stay in their own room or return to their own room if stairs or hallways are in use by another guest. You should proceed to use the stairs or hallway once the other guest has vacated the area.
  3. Guests should wear face masks at all times when in public areas of the guest house. The only exception is during breakfast.


2. Outside Areas - Car Park / Garden & Smoking Area

  1. Guests are required to practice a 2 metre social distancing within the car park at all times. Where guests from more than one room are arriving or leaving at the same time and their cars are parked close together, it might mean that guest from one room might need to briefly wait in their car.
  2. Tables and seating in the courtyard area have been spaced for guest use.
  3. Guests are advised and requested to maintain a 2 metre social distance at all time whilst using the garden and smoking area.


3. Breakfast Room

  1. Only three separate sets of guests will be having breakfast service at any one time.
  2. Three breakfast tables are spaced over 2 metres apart.
  3. Guests are advised and requested to maintain a 2 metre social distance at all times whilst using the breakfast room.
  4. Two guest tables will be placed together, with guests sitting at one table and food being delivered to the other table in order to maintain a safe distance between staff and guests.
  5. Only guests from one room can be seated at a table. Generally this will mean two guests per table, however three guests can be seated together if they are all staying in our family room.
  6. Tables cannot be moved within the dining room. Guest should remain seated at their table.
  7. Guests will not be expected to wear face masks during breakfast.



Guest Procedures

The guest procedures below have been implemented with immediate effect for the safety, protection and welfare of all guests and staff residing or staying at Churston Way Lodge Guest House.

1. Pre-Guest Arrival

  1. Guests with confirmed bookings will be sent a link to complete an online Registration Form and COVID-19 Declaration. This is to be completed no later than 24 hours before day of arrival. The completed form will be printed by Churston Way Lodge Guest House and will be ready for guests to sign when they arrive.
  2. All guests will be requested and encouraged to read our COVID-19 policy and risk assessment on our website www.churstonwaylodge.co.uk
  3. Any guest concerns or questions regarding our COVID-19 policy and risk assessment should be sent via email.
  4. All guests must give notice of approximate arrival time on date of check in.
  5. Guests will be encouraged to regularly check guest house website and social media for updates to COVID-19 policy.


2. Guest Arrival and Reception

  1. Guests can arrive between 3pm-8pm. This is slightly later than before to allow for any additional cleaning.
  2. Churston Way Lodge will clean a maximum of two rooms per day after guest departure to ensure there is time for a thorough deep clean between bookings. We will close off rooms for 24 hour periods as necessary in order to facilitate this.
  3. Guests will be expected to confirm arrival times with Churston Way Lodge Guest House so that only one set of guests are arriving at a time. Ideally, there will be at least a one-hour time delay between individual guest arrival times.
  4. All Guests must park in marked car park spaces.
  5. Guests are required to stay inside their own vehicle or practice a 2 metre social distancing if another guest is in the car park area at the same time.
  6. Only one guest is permitted in the reception area at any time.
  7. All Guests are responsible for moving and handling their own luggage. No staff or other guests are permitted to handle luggage at any time.
  8. Guest registration forms and Covid-19 Declaration cards will be attached to a clipboard, that can be wiped clean, and will be ready for guest signature on arrival.
  9. Hand Sanitiser will be available in reception. All guests are encouraged to use as often as possible.
  10. No leaflets, brochures or complimentary items will be available from the reception area. These are available on request.
  11. Front doorbell, door handles, framework and hard surfaces to be cleaned regularly and periodically using antiseptic surface wipes.


3. Guest Rooms

  1. No members of staff can enter a guest room whilst a guest is present in the room. Guests must leave the room for any staff member to attend.
  2. There will be no daily room servicing during a guest stay.
  3. Guests requiring clean towels can notify staff. The towels will be provided in a bag. The dirty towels are required to be put into the same bag, sealed or tied up, and left outside the bedroom door for staff collection.
  4. Guests can request room tray replenishments during breakfast service. Requested replenishments will be provided in a paper bag and given for guests to take back to their own room.


4. Guest Breakfast

  1. Guests are required to order their breakfast from the menu the day or night before
  2. Guests will be given the choice of time slot for their breakfast service
  3. Only three separate sets of guests will be having breakfast service at any one time.
  4. Breakfast tables are spaced over 2 metres apart
  5. No buffet breakfast will be available. Strictly table service only.
  6. Guests are requested that once seated they do not leave their table. Any requirements or needs will be attended to by staff straight away
  7. All condiments, such as salt, pepper, sauces, jams and butter will be provided in individually wrapped servings.


5. Guest Departure

  1. Guests are requested to give an approximate time of departure the day or evening before their departure day.
  2. Only one guest is permitted in the reception area at any time.
  3. All Guests are responsible for moving and handling their own luggage. No staff or other guests are permitted to handle luggage at any time.
  4. Keys to be deposited in key box situated in Reception area.


6. Guest Payments

  1. Payment will be taken from bank card provided at time of booking on the day before arrival.
  2. Alternatively guests can, by prior arrangement, make payment by BACs.
  3. Cash is not preferred.



Cleaning and Housekeeping

The cleaning and housekeeping procedures below have been implemented with immediate effect for the safety, protection and welfare of all guests and staff residing or staying at Churston Way Lodge Guest House.

1. Reception Area / Stairs & Hallways

  1. Hand Sanitiser will be provided in reception. All guests and staff are encouraged to use as often as possible.
  2. Antiseptic surface wipes will be used for front doorbell, door handles and frameworks and hard surfaces.
  3. All door handles, light switches, rails and hard surfaces to be wiped with antiseptic surface wipes every 2 hours or as necessary.
  4. All staff to wash hands as regularly as possible for at least 20 seconds.


2. Guest Rooms

  1. No guest rooms will be cleaned until guest has fully departed
  2. On guest departure all rooms will undergo a deep clean. This includes bathroom sanitising, light switches, sockets, handles, drawers, wardrobes, keys, trays and kettles.
  3. All hard floor areas mopped with antiseptic surface wipes.
  4. All cups and cutlery to be dishwasher cleaned on intense programme wash.
  5. All laundry to be sent to our laundry for professional cleaning.
  6. All rubbish to be double bagged and taken straight to outside refuge area and disposed of.
  7. All staff to wash hands as regularly as possible for at least 20 seconds.
  8. TV Remote controls will be kept within remote control bags. The bags will be wiped clean with sanitising wipes and will be periodically replaced.
  9. Soft furnishings. Cushions, and throws have been removed from rooms. Spare blankets have been removed but are available on request. Curtains and fabric chairs will be sprayed with fabric cleaning spray.
  10. Unused consumables, such as biscuits, tea/coffee, will be removed from the room and stored for a period of 72 hours before being re-used for other guests.
  11. Difficult to clean items, such as hairdryers and alarm clocks have been removed from rooms.
  12. We will no longer offer guests the use of an iron or ironing board.
  13. We will no longer provide a travel cot for guest use.


3. Breakfast Room

  1. On guest departure from the breakfast room, the table will undergo a deep clean. This includes sanitise table and chairs. Replace the tablecloth, cutlery and utensils for pre cleaned fresh set.
  2. All plates, glasses, cups, saucers and cutlery to be dishwasher cleaned on intense programme wash.
  3. All door handles, light switches, rails and hard surfaces to be wiped with antiseptic surface wipes between each service.
  4. All staff to wash hands as regularly as possible for at least 20 seconds.


4. Kitchen

  1. All work surfaces and including cooker, microwave, fridge, drawer and cupboard handles to be cleaned with 'CleanPro+ H2FA' before, during and after use of the kitchen.
  2. All kitchen utensils to be regularly cleaned and sterilised during service. Then into the dishwasher on high intense wash after service is complete.
  3. On arrival back to the kitchen all plates, glasses, cups, saucers and cutlery to be loaded straight into the dishwasher and cleaned on intense program wash.
  4. Kitchen floor clean with antiseptic surface wipes after service is complete.
  5. All staff to wash hands as regularly as possible for at least 20 seconds.
  6. Only staff permitted into the kitchen to prevent any contamination.


5. Laundry

  1. All guest laundry will be sent out for professional cleaning.
  2. All guest laundry to be bagged up in laundry bags on day it is removed from guest room. Within the laundry bag laundry should be kept in plastic bags at all times.
  3. All staff clothes to be washed at the end of each day. Clean clothes to be worn each day.



Fire Alarm

In the event of the fire alarm sounding, normal evacuations procedures apply. These procedures are displayed on Fire Action notices in rooms. Guests should leave the building and assemble in the car park at the front of the building. Whilst leaving the building social distancing should not be followed, however social distancing should resume once guests are assembled in the car park.


Staff PPE

Staff PPE procedures below have been implemented with immediate effect for the safety, protection and welfare of all guests and staff residing or staying at Churston Way Lodge Guest House.

The main approaches to reducing the risk of COVID-19 at Churston Way Lodge is frequent cleaning and maintain 2 metre social distancing where possible. PPE only needs to be used where this is not possible, as detailed below. All PPE has been procured in accordance with UK Government & PHE guidance.

The following PPE will be available to be worn by all staff members:

  1. Face masks
  2. Disposable gloves
  3. Washable aprons


Areas in which the above PPE will be worn:

  1. Attending guest room for an issue or enquiry (Blue Butchers Style Apron)
  2. Breakfast - Kitchen and Breakfast Room (Red Butchers Style Apron)
  3. Cleaning Guest Rooms (Blue Butchers Style Apron)
  4. Cleaning Guest Rooms after suspected or confirmed case of COVID-19 (Blue Butchers Style Apron, Gloves and Face Mask)
  5. Whilst collecting and doing Laundry (Blue Butchers Style Apron)
  6. Any time where social distancing not possible (Apron, Gloves, Face Mask)



Staff Procedures

Staff procedures below have been implemented with immediate effect for the safety, protection and welfare of all guests and staff residing or staying at Churston Way Lodge Guest House.

  1. All staff have read and understand the Churston Way Lodge Policy and Risk Assessment.
  2. All staff have read and understand UK government COVID-19 guidelines.
  3. All staff to practice 2 metre social distancing where possible.
  4. All staff to wear PPE (as per Staff PPE section) at all time whilst with guests where 2 metre social distancing is not possible.
  5. All staff to wash hands as regularly as possible for at least 20 seconds.
  6. All staff clothes to be washed at the end of each day.



Guests Suspected of Coronavirus During their Stay

If a guest presents themselves with symptoms of COVID-19 we will be following official government guidelines, as published by UK Hospitality, that state:

“Suspected COVID cases and guest self-isolation

If a guest presents themselves with symptoms of COVID-19 or is asymptomatic but declares the need to self-isolate, they should be advised to self-isolate according to current government guidance. If a guest is displaying signs of the Covid-19 virus while staying in overnight accommodation for a permitted reason, they should inform the accommodation provider, immediately self-isolate where they are to minimise any risk of transmission, and request a test. If they are confirmed to have Covid-19, they should return home if they reasonably can. They should use private transport but only drive themselves if they can do so safely. If a guest cannot reasonably return home (for example because they are not well enough to travel or do not have the means to arrange transport), their circumstances should be discussed with an appropriate health care professional and, if necessary, the local authority. Guests should follow government guidance on dealing with possible or confirmed coronavirus (COVID-19) infection. Once the guest has returned to their main residence, they should continue to follow the government guidance on self-isolation, household isolation and social distancing. This will apply to all guests that were present in the room. If the guest shows acute symptoms has breathing difficulties or their life is at potential risk, seek medical help immediately.”

In the event of a confirmed or suspected case of COVID-19 at Churston Way Lodge Guest House, we will follow government guidelines that can be found here.

In the unfortunate event that guests are required to isolate whilst here, then normal room rates will be incurred for the period of your isolation.
